Receptionist

Purpose Operates multi-line telephone system to answer incoming calls and directs callers to appropriate personnel greets visitors and is responsible for the set-up and breakdown of meeting rooms for all scheduled Arizona Hospital and Healthcare Association meetings. This position reports to the Director of Operations. The Receptionist is the voice of AzHHA in the capacity of the receptionist position and is most often the first point of contact for hospital members the media legislators and others who reach out to the Association. This position is integral to the entire AzHHA team. The Receptionist is responsible for ensuring that AzHHA s first impressions are warm and professional and that continued communications with members and visitors are helpful and efficient. The internal team relies heavily on this position to ensure that front desk operations run smoothly as well as to provide coverage for other tasks and projects. MAJOR ACTIVITIES Operates multiline telephone system to answer incoming calls and directs callers to appropriate personnel. Responsible for ensuring that AzHHA s first impressions are warm and professional and that continued communications with members and visitors are helpful and efficient. Responsible for daily mail collection and distribution. Supportts the setup of onsite and offsite meetings. Provides support to internal teams with the coordination registration set up and tear down of meetings and meeting locations. Provides administrative backup to all AzHHA teams as necessary. Maintains cleans and stocks the kitchen boardroom meeting rooms and production room on a daily basis. Maintains reception and office area and calls for service when maintenance is required. Responsible for ordering and stoking all office supplies and kitchen supplies. Assists in updating contact data management database (ACT). Assists the Finance Department with check validation and prepares cash deposit sheets and journal entry sheets as needed on a daily basis. Assists with audits for the Registry Program. Updates Certificate Registry staffing data and collects inputs scan and files Certificates of Insurance for hospital regulations. Manages and schedules office staff luncheon meetings.
