Company Summary PTG Enterprises and The Gillen Group are owned by Patrick & Cathleen Gillen. We are a small company comprised of 5-6 close knit staff. We are casual but professional. PTG is a General Contracting Firm specializing in pavement projects. The Gillen Group is a Public Relations Firm specializing in traffic safety issues. The two companies share offices at our Linthicum location. Job Summary The Bookkeeper is responsible for overseeing the general day-to-day finances of the company. This will include but is not limited to A R A P HR and account reconciliations. This will be a Full time position. The ideal candidate must be Detail Oriented This is the MOST important attribute we are seeking in a Bookkeeper candidate. You MUST be detail oriented and have extremely strong organizational skills with the ability to focus and stay on task at all times. A Team Player As a small company it is essential that all staff works as team players and assist in all aspects of our company. Work Independently The Bookkeeper must be able to complete his or her job duties with minimal supervision. You will be expected to solve problems and meet deadlines with minimal supervision. Flexible The tempo and the focus of our office can change rapidly from day to day and even minute to minute. The candidate must be able to change-gears at a moment s notice and multi-task. Professional There will be daily interaction with several different companies vendors suppliers clients and sub-contractors. You must be able to interact politely and professionally with all company contacts and staff. Dependable You will be counted on to be punctual and dedicated to your work. You will need to stay connected and respond to any urgent e-mails during off-hours. Skill Requirements Strong verbal and written communication skills Strong mathematical skills Detailed knowledge in QuickBooks and QuickBooks Payroll Microsoft Office ( Outlook Word & Excel ) Strong familiarity with financial statements Working knowledge of computers and other modern technologies Education Employment Requirements High School Degree or GED College AA in Accounting or BA preferred ( or equivalent work experience ) 3-5 years experience in the accounting bookkeeping field Other General Requirements Dependable transportation Pass background check (Drugs Criminal Credit etc.) Non-smoker ( PTG is a smoke free company ) Clean and professional appearance Duties & Responsibilities Accounting Duties 75% Accounts Payable Timely process of bills and invoices Coding chart of accounts Printing checks for signature Accounts Receivable Processing company invoices Tracking incoming payments Processing deposits and register payments Process and perform change orders to existing invoicing or billing Performing collection calls and responding to e-mails as needed. Payroll Collecting time sheets and processing weekly payroll for company Making payroll tax payments to the government and sending the appropriate monthly and quarterly reports Reconciliations Performing monthly reconciliations of the charge accounts and bank statements Registering all receipts and reconciliation of various types of accounts Job Costing Tracking Setting up new jobs Tracking all job expenses Performing accurate job costing breakdowns for each project Job-Jacket Creation Ensuring prompt and accurate payments as well Logging and updating client information Financial Reports Keeping all related information current Producing job costing profit and loss reports Calculating month end numbers General Office Duties 15% Vendor & Supplier Accounts Completing credit applications as needed Creating new accounts as needed Managing processing and verifying accounts. Cross-training Answering phones Processing mail Taking leads Requesting COI s and sending W-9 forms to clients etc. Other Duties Attend training classes as needed Attend staff meetings Keeping current on all state and federal requirements and the latest versions of company software. Human Resources Processing Human Resources paperwork Setting up new employees in the system Ensuring that all paperwork is processed and sent to the State of Maryland and the IRS.
