Pine Island Road Plantation FL 33324 is currently hiring a Senior Project Specialist Planning & Support - Caribbean & Latin America Region (CALA). Responsibilities include The Project Specialist Planning & Support (CALA) will report to both the Vice President Planning Performance & Casinos (CALA) and the region s Southern South America Area Vice President. The Project Specialist Planning and Support (CALA) will provide administrative project management and professional services support to theCaribbean & Latin America Region with a focus on Southern South America. Work is generally varied and administrative or project oriented. TYPICAL CORE WORK ACTIVITIES Project Management and Professional Services Support Deploy as needed for various field initiatives (e.g. General Manager Webinars meeting planning coordination) Create presentations and reports for internal and external stakeholders Analyze data to identify trends escalate issues and forecast market movements Plan prioritize track and document projects and initiatives Evaluate situations create efficiencies and develop strategic solutions Coordinate cross-functional cross-discipline teams to facilitate project execution Edit and develop presentation and communication materials as needed (e.g. PowerPoint Word Excel documents) Document meetings and assist in follow up of action items General Administrative Support Provide general administrative support to Southern South America Area Vice President manage calendar and contacts travel expense reports meeting scheduling appointments and events. Organize meetings including but not limited to transportation arrangements negotiating meeting rental space preparing agendas and coordinating catering needs. Answer departmental telephone line in a friendly and professional manner provide callers with responses to all types of requests both routine and those requiring research and follow-up. Develop alternatives to handle requests. Compose all types of correspondence or documents many times on behalf of the supervisor. Correspondence may be directed toward outside owners customers or senior level executives. Responsible for processing items such as expense reports accounts payable payroll and personnel data. Performs research and follow-up necessary to solve problems encountered. Identify areas where administrative policies and procedures are needed or could be improved and propose solution. Research questions and problems regarding departmental or administrative policies procedures information or services including questions which are complex in nature. Research typically requires obtaining data from multiple sources. May have responsibility for a specific departmental process system which entails research and analytical responsibilities. Performs other duties as appropriate. Southern South America Administrative Support Maintain organization chart and area statistics Own area specific presentations and meeting materials CANDIDATE PROFILE Education and Experience 2-year to 4-year degree from an accredited university in Business Administration Communications Hospitality and or related major. Other Required Skills Fast learner with excellent written and verbal communication abilities Detail oriented and pro-active Knowledge of advanced functions of Microsoft Office Suite Office 365 Exceptional writing skills graphics and presentation slide-ware design Excellent time-management skills and ability to prioritize in a changing environment Ability to multi-task divergent priorities and manage multiple projects Ability to take ownership of tasks and consistently follow through to completion Resourceful and will leverage available resources to obtain solutions or answers Equally comfortable completing tasks independently or with a team Can demonstrate a solid knowledge of a full range of administrative processes typically gained through extensive years of experience. Can demonstrate a clear understanding of the mission functions organizational structure policies and procedures of their department and division and a general knowledge of those pertaining to the Company. Incumbent is viewed as a resource to others concerning these areas. Supervision Received Incumbent receives minimal supervision. Instructions are received at the beginning of complex projects and sensitive assignments and the resulting work is generally reviewed at completion. Incumbent has a high level of autonomy when handling requirements of their position. Incumbent is responsible for setting priorities and establishing procedures for completing responsibilities. There may be significant variation in daily workload which requires constant independent prioritization. Incumbent is responsible for resolving and determining the urgency level of conflicting priorities. Incumbent is responsible for prioritizing some aspects of the work for the supervisor such as identifying critical items and ascertaining which items are to be delegated to subordinate managers handled by the supervisor or handled by incumbent.
