Administrative Secretary

SUMMARY Management Business Solutions is seeking an Administrative Secretary for our client in Grand Rapids MI. This is a contract employment opportunity with a possibility of becoming a permanent position. This person will be responsible for planning and organizing office and work flow activities to meet department objectives in a timely manner evaluating work procedures and methods to ensure quality effectiveness and efficiency of operations and anticipating events trends consequences and or problems. RESPONSIBILITIES Take notes and transcribe meetings at a reasonable rate keep official records and reports make travel and meeting arrangements and maintain appointment calendar. Collect information and plan draft brochures portfolios presentations and publications. Maintain reference files organize data draft correspondence and prepare a variety of special reports required by the supervisor. Provide administrative support to the appropriate employees by arranging agendas and minutes and mailing information. Ensure accuracy and completeness of administrative and public reports by conducting clerical research. Take incoming calls and other communication refer to the appropriate employee and pull together relevant attachments or notes for instruction. Develop and manage operating records and organize activities with other units in the department or outside agencies as needed. Respond to difficult issues and citizen interests or complaints using judgment in accordance with appropriate regulations or policies. Maintain and verify payroll information personnel files office supplies and equipment. Establish control procedures for document handling and storage in accordance with appropriate laws and regulations. Ensure appropriate confidentiality of all information correspondence and reports. May be responsible for assisting switchboard operator or receptionist. QUALIFICATIONS High school diploma and five years of experience in clerical secretarial work or any equivalent combination of training experience required. In-depth knowledge of standard office procedures effective practices and processes and office equipment preferred. Ability to make independent decisions in accordance with established policies and procedures. Ability to learn and use specialized language and technical terms.
