Office Manager (West Palm Beach)NOW HIRING FULL-TIME or PART-TIME OFFICE MANAGER Qualifications At least 5 years experience working with QuickBooks (online preferred) in a construction (preferably roofing industry) environment Fundamental knowledge the roofing trade preferred or other construction related trade Must be dependable and responsible English Speaking Reliable transportation Strong organizational skills Ability to prioritize and multitask Divergent thinker Detail-oriented Down to earth friendly personality Ability to work with a team or independently Must be dependable and responsible English Speaking Valid Drivers License & Social Qualified individual will be responsible for phones lead delegation to sales team lead tracking permitting submittal process material orders PO s invoicing paying vendors reconciliations applying bookkeeping transactions to proper tax codes and working with accountant preparing job closeout packages as well as other office management and project assistance duties. Must be able to keep accurate and up to date bookkeeping records . Responsibilities Phones Lead delegation and tracking for sales team Prepare Work Orders for roofing crews Permit application process ARI and manufacturer warranty registrations and job closeout package preparation Manage administrative details Report directly to Company President and Partner Project Administrative Assistance to sales project managers as needed. Bookkeeping and preparation for tax accountant Business COGS and other related business sales or job related reports Inventory and purchasing Payment collection from customers Perform notary of the public duties for relevant office documents Type photocopy fax and file all general correspondence forms and memos Maintain trade (sub)contractor insurance records Screen record and track incoming job leads via phone e-mail and walk-ins Liaise on the company s behalf with trade (sub)contractors clients vendors accountants insurance providers engineers architects suppliers property managers tenants etc... Perform basic and advanced administrative duties Keep all business office functions organized Preference will be shown towards candidates capable of performing the following. - (5 Years) Quick books Experience Required - (5 Years) Managerial experience preferred -Knowledge of Florida construction permitting and regulation -Excellent Communication skills and personable -Working knowledge of Roofing systems and Protocol preferred but not required. -WPM 50 Full-Time or Part-Time.
