Marketing Specialist Office CoordinatorThe Marketing Specialist Office Coordinator s job is to create and deliver key marketing programs to support the housing developments of the company and to effectively achieve and maintain stabilized occupancy among the existing housing portfolio. The role of the Marketing Specialist Office Coordinator requires assisting the Director of Marketing with the development and implementation of marketing communications and promotional plans for the assigned communities providing timely reports according to the information gathered such as lead generation tracking and marketing-plan effectiveness. The individual must be familiar with a wide range of marketing practices concepts and procedures. He or she relies on collaboration with the Director of Marketing and secondarily to the Director of Sales and Leasing providing professional judgment in planning coordination and communication to accomplish their goals.Position Reports to Director of MarketingMain Duties and Responsibilities Act as manager for assigned marketing programs and development and fulfillment of supporting materials with internal production resources and outside creative resources. Construct detailed marketing plans for stabilized communities under target-occupancy goals. Ensure brand-messaging attributes and graphic standards are consistently incorporated into marketing programs. Develop draft advertising layouts and copy for campaign materials presenting them to the Director of Marketing for approval and review. Work closely with the outside graphic designer(s) or designated agency to create and implement the overall look and feel of the outbound consumer communications materials and website listings. Coordinate the production of signage for all communities. Assist with development management and fulfillment of promotional literature newsletters direct marketing and Internet marketing projects (e.g. Craigslist Facebook Twitter) Schedule print media placement in conjunction with production and publication deadlines for all print media. Participate in project design and development of marketing campaigns. Support sales and marketing management coordinating with the Director of Marketing. Assist in the management and execution of marketing strategies and programs that support the achievement of the portfolio s performance goals by creating and implementing action plans around leasing and marketing. Acquire and review current market data to identify trends opportunities and threats create effective short and long term response strategies to improve or enhance the operations and financial performance of the assets. Define area demographics and competitive offerings review and interpret property historical activity and future plans develop marketing calendar and assist in plans to increase traffic. Assist in the supervision of the communication of each community marketing message through print internet social media review sites signage and other means of general advertising. Assist in the development and implementation of marketing plans targeting prospective and existing customers. Closely monitor weekly trends in traffic occupancy availability and leasing for all communities in each region. Assist in the management and implementation of cutting-edge and innovative communications marketing and advertising outlets and vehicles by utilizing internet website and other emerging technologies to create cost-effective tactics for increasing traffic and promoting leasing. Maintain a benchmark system to track performance of each marketing source including from Yardi MaxLease and advertiser s statistics. Monitor the cost effectiveness of marketing expenditures by analyzing advertising and cost-per-lead and lease for each community. Audit and update all marketing sources weekly for correct lead phone numbers email addresses pricing photo tagging and brand messaging. This includes but is not limited to company website social media and reputation management sites. Assist in the completion of Quarterly Marketing Audits for each asset. Maintain changes to community websites using photos tagging video content enrichment etc to maximize communities search engine optimization. (SEO) Assure that all marketing efforts adhere to SHAG s brand messaging. Maintain strategic knowledge of markets and competition within the market and region. Establish and maintain a network of industry and market resources and contacts. Be a constant source of support for the site level teams. Manage tactical details of marketing leasing events including arranging the schedule selecting speakers entertainment choosing vendors selecting menus creating and distributing marketing materials (invitations flyers advertisements etc.) Maintain open lines of communication and support with the Marketing and Sales & Leasing team members plus other departments within the organization while providing prompt concise and clear answers to inquiries. Complete assigned projects on time with attention to detail. Track current campaigns prepare performance analysis reports of past campaigns and make recommendations to concurrent programs for corrective modifications. Provide assistance to SHAG community and asset managers in the execution of local marketing efforts. Monitor and update content of company and community websites and social media sites. Update tracking phone numbers and contracts as required. Oversee the preparation printing and posting of a master marketing calendar for all communities. Coordinate overall production of the SHAG ILI newsletters. Maintain strict confidentiality in all aspects of client staff and company information. Other duties as assigned by Director of Marketing.Qualifications 1. Must have at least five (5) years experience in business marketing communications or a related field.2. Must have knowledge of computers and basic software application including MS Word Excel Outlook and where appropriate property management software (e.g. Yardi You ve Got Leads). 3. Must be enthusiastic sales-oriented assertive intuitive intelligent tactful cooperative diplomatic and work well as part of a team.4. Must have the ability to work across organizational boundaries to define manage and prioritize work.5. Must have a neat clean and professional appearance.6.
