Administrative Records Support (Boise) Ocean Associates Inc. (OAI) is seeking an individual to provide Administrative Records Support to the National Oceanic and Atmospheric Administration s (NOAA) National Marine Fisheries Service (NMFS) West Coast Regional Office (WCR) Oregon Washington Coastal Office (OWCO).OAI supplies personnel support services on contract to government and industry clients for marine fisheries and protected species. BackgroundThe NOAA Fisheries West Coast Region (WCR) is comprised of offices staff in 15 offices located in California Idaho Oregon and Washington. OWCO division provides a variety of support to all offices staff within the WCR. Contractor responsibilities will provide full time support for the OWCO division in administration and support of the WCR. The primary objective is to provide contactor services through performance of duties that include Records management SharePoint database monitoring and oversight computer and paper filing meeting preparation and responding to and documentation of office inquiries. Travel is anticipated.Start Date October 2020Location NMFS office located at 800 E. Park Blvd. Plaza IV Suite 220 Boise Idaho 83712-7763 Salary and Benefits This is a full time position based on 40 hrs. week with generous employee benefits. Hourly rate is commensurate with experience. DutiesRecords Management Provide administrative support in the coordination and production of division documents Assist with correspondence reports and other materials using common word processing spreadsheet and database software Perform oversight and management Regional SharePoint database records Assist division staff in tracking the production of text tables and graphics of various documentation Collate and distribute information as required by the project officer. Meeting Preparation Meeting facilitation- includes preparing meeting agendas facilitation and briefing materials and taking notes for OMI Assistant Regional Administrator (ARA) Schedule conference room and teleconference lines Assist with OMI division meeting logistics as requested to include reserving conference lines go-to meetings and conference rooms. General Administrative Assistance Answer and screen telephone calls determine the nature and purpose of the call and refer calls and individuals appropriately Supports the OMI Assistant Regional Administrator (ARA)with calendar scanning and printing Division records Assigned daily projects will include filing and typing word documents photocopying and faxing of documents creation of compact discs when appropriate index and maintain record files document shredding and other general office tasks. Administratively assist divisional staff as approved by project lead as needed for specific one-time administrative projects Conduct internet search such as conducting market research when appropriate needs are identified. Other DutiesCompletion of scanning and records maintenance activities are performed within 5 days of assignment or time frames identified when assigned for larger projects. Periodic SharePoint dates are dictated by federal employee evaluation requirements but do occur on a bi-annual basis. Prepare meeting agenda and materials for weekly OMI Supervisor and Division Manager meetings Records Management assistance will be determined as needed by the project officer Required Knowledge and Experience Selected individual(s) must have the following minimum qualifications A high school diploma or a minimum of 1 year experience in the areas defined below Administrative clerical experience preferably in the field of records or information management Knowledge and experience of records management and information practices and procedures of a records management system Knowledge of relevant computer applications (document management relational databases and spreadsheet applications) Accuracy and attention to detail in the review classification and distribution of documents Ability to use a variety of automated systems to perform administrative tasks related to record keeping Ability to learn and use a variety of automated systems to perform administrative tasks such as timekeeping travel arrangements etc. If you are interested in being considered for this position you MUST APPLY THROUGH OAI s WEBSITE ONLY.
